Why people switch from Google Workspace
- The per-user price pays for Drive, Docs, Meet, Chat and Gemini as well as Gmail. If your team only uses email, you pay for the rest anyway.
- Business Starter costs about US$7 per user per month on an annual plan (as of October 16, 2026).
- On most plans, Google chooses which of its data centres hold your mail. Velto stores mail on servers in Québec, Canada.
- Workspace prices have gone up more than once. A Velto mailbox renews at the price you paid, for as long as you keep it.
What moves
- Every message, with its folders, read and unread state, flags, original dates and attachments.
- Gmail labels become folders, and stars come across as flags.
- Mail you archived without a label can be copied into an Archive folder too.
- Contacts and calendars come across as files: export them from Google Workspace (contacts as a .vcf file, calendars as .ics files) and import them into your Velto address book and calendar from your phone or computer.
- Your domain stays yours. Only the mail records (MX) change.
What doesn't move
Google Drive, Docs, Sheets, Slides, Meet, Chat, Sites and Gemini. Velto replaces the mailbox only. You can keep a Google account for those tools, or use free alternatives such as LibreOffice for documents and Jitsi Meet for calls. If you cancel Workspace, download your Drive files with Google Takeout first.
Mail filters, rules and signatures don't move; set them up again in Velto.
How long it takes
- Google limits how fast mail can be downloaded, so a large Gmail mailbox copies in several passes, over a day or more. An interrupted copy picks up where it stopped.
- A day or more ahead, lower the time-to-live (TTL) on your MX records; then point them at Velto. Velto shows the exact records and checks them.
- For 48 to 72 hours after that change, anything that still lands at Google Workspace is copied across.
- You get a “migration complete” email. Then you can close your Google Workspace account.

How to switch
- In your Google account, turn on 2-Step Verification, then create an app password (search for “App passwords” in your Google Account settings).
- Add your domain to Velto, create your mailboxes, and enter your Gmail address and the app password. If Google won't let you create an app password (some accounts and workspaces block them), export your mail with Google Takeout instead (takeout.google.com, choose Mail) and upload the .mbox file in the Velto dashboard.
- Change your MX records where your domain is managed. Velto shows the exact records and checks them. Then wait for the catch-up copy and the “migration complete” email.
Migration is self-serve: in the Velto dashboard, enter the old address and its password or app password, and the copy runs in the background while you start using Velto. Founding firms also get the founder's direct line if anything looks off.
Keep using your phone and apps
Remove the Google Workspace account from your mail apps and add your Velto address and password. Thunderbird, classic Outlook and Apple Mail on a Mac find the settings on their own; on an iPhone, a one-tap setup profile adds mail, calendar and contacts; Android takes a few more taps. Calendars and contacts sync too. With two-factor on, each mail app gets its own app password from the Velto dashboard. You can also install the Velto web app on your phone.
Questions
Why can't I just sign in with Google?
Google requires apps with full mail access to pass a security review, and Velto's isn't finished. Until then, use an app password, or a Takeout file if Google blocks app passwords on your account.
Can I keep Google Drive?
Yes, as long as you keep a Google account. Velto only changes where your mail goes.
Will my labels survive?
With an app password, each label becomes a folder. A Takeout file holds all your mail in one file, so it arrives in one folder and your labels don't become folders.
